How to respond to a negative Google review (step by step)

A practical structure for answering a bad Google review: what to say, what to avoid, and when not to reply at all.

21 October 2026

A negative Google review rarely costs you as much as a bad answer to it. Future customers expect a few complaints; what they judge is whether the business listens. A calm, specific reply can turn a two-star review into evidence that you care.

Write for the next customer, not the reviewer. The person who left the review has already made up their mind. The dozens of people who read it afterwards are the audience that matters.

1. Reply within a day or two. Speed signals that someone is paying attention, but replying at midnight while angry does not help. Take a breath, check what happened, then write.

2. Acknowledge the experience without confirming disputed facts. “I'm sorry your evening went this way” is honest and safe. “You are right that our kitchen gave you food poisoning” is a legal and safety admission you cannot make in public.

3. Name the specific thing they raised. If they mention a 40-minute wait for a booked table, say that. Specific replies read as genuine; “we value your feedback” reads as a template.

4. Move the detail offline. Give a direct email or phone number and invite them to get in touch. Do not debate the sequence of events in the reply, and do not ask them to remove the review.

5. Never offer money, a refund or a free meal in public. It invites copycats, can look like buying a better rating, and puts you in a worse position if the complaint is disputed.

Do not reply at all when the review is obvious spam, is about another business, or contains abuse or personal data. Report it through Google's process first. If it stays up and readers might be misled, a short neutral reply is still better than silence.

A workable shape: thank them, apologise for how it felt, name one concrete detail, invite a private conversation, sign off as yourself. Four or five sentences is enough.

Ratingly drafts replies like this for every review from your voice profile, has a second reviewer check them, and sends them to you before anything is used. You can also try the free reply generator for a starter draft right now.
